Sponsored Residents Onboarding

This page contains important information (or links to that information) that an internationally sponsored resident will need to know and complete to ensure a smooth onboarding and transition into residency. UBC Requirements and Important Information

UBC Registration Fee

All medical residents are required to be registered with the University of British Columbia for the duration of their training.  PGME will arrange to pay registration fees for sponsored residents. You should not pay this fee yourself. If you receive any communication from UBC asking you to pay a UBC registration fee, please contact pgme.reimbursement@ubc.ca.

UBC CWL Account & Email Address

Sponsored residents new to UBC must create a Campus-wide Login (CWL) account. This enables access to most UBC systems and will be needed to set up your UBC-issued email address.  See Set Up Your UBC CWL Account for more information.

Once you have set up your CWL account, you will need to set up a UBC-issued email address. This will be required for communication with UBC and for clinical access. See Set Up Your UBC Email Address for instructions.

Resident Management System (RMS)

The Resident Management System (RMS) manages academic and administrative records for all UBC residents.  All new and returning residents are required to complete PGME Registration. RMS registration will open on April 17, 2024 and must by completed by May 1, 2024. Learn more.

Resident Wellness

The Resident Wellness Office supports residents throughout their time at UBC. Learn more. 

UBC Library Card

All residents have UBC Student access to the UBC Library using your UBC CWL login.  

The UBCcard acts as a library card. Residents who have completed the UBC registration process and have obtained their UBC MRES (student) number can contact the UBCcard Office to obtain a UBC Student Card if they wish to do so. 

UBC Workday Setup

Sponsored residents are not employees of the BC Health Authorities. However, all sponsored residents are required to be set up as UBC employees in the UBC Workday system. The Postgraduate Medical Education (PGME) Office will facilitate this process, but will require information from new residents to do this including a copy of your work permit and Canadian Social Insurance Number (SIN). Please follow instructions from PGME staff and send the required information as soon as it is available.

Educational Licensing & Medical Liability Protection

All residents must obtain an educational license from the College of Physicians and Surgeons of BC  (CPSBC or “the College”) prior to the commencement of training. Until you have received confirmation from CPSBC via email that your license has been issued, you will not be permitted to start your residency program. 

CPSBC will contact all residents directly via email regarding the application process on April 18, 2024. Licensing applications for new residents must be completed by May 1, 2024

In addition to maintaining an active educational license, all residents must have medical liability protection when they begin and throughout their training. Each resident should arrange and maintain their own coverage and membership with the Canadian Medical Protective Association (CMPA). Sponsored trainees attending residency and fellowship trainings are required to purchase their own personal medical malpractice liability insurance before they start their trainings through CMPA. UBC does not refund CMPA membership fees for sponsored trainees.
