Resident Management System (RMS)

The Resident Management System (RMS) manages academic and administration records for all UBC residents. Use the system to access Letters of Offer, update your contact information, find your employee ID, review your academic records, and self-report any statutory holidays you’ve worked. Are you a first-time user?

If you’re a first-time user, you will be sent a unique link to access the RMS during registration. Once you have registered, you will be able to access the system using your Campus Wide Login (CWL).

Completing Registration

When registration begins, you will receive an email with a unique link to the online Resident Management System (RMS) and login instructions.

Finding your Employee ID

Your employee ID can be found in your profile in the Resident Management System. You will need this in order to register for electronic pay stubs. Click here to find out how to access electronic pay stubs.

Accessing Your Letter of Offer (Contract)

All Letters of Offer are issued and signed electronically through the Resident Management System (RMS) during the registration period. Letters of Offer are term-based, and are only issued at the start of a UBC residency training program.

Updating Your Contact Information

Residents are responsible for updating their contact information in the Resident Management System (RMS), as well as contacting the following professional institutions:

For name changes, please contact the PGME Dean’s Office and indicate in the subject ‘Name Change’.  Please attach supporting documentation that applies to your situation.

Reporting Stat Holidays Worked

If you are eligible to receive statutory holiday pay, requests for payment can be made through the Resident Management System (RMS). All requests will be automatically forwarded in RMS to your program administrator for approval, and then for processing with Provincial Health Services Authority (PHSA) Supprt Services (formerly BCCSS).

Please refer to the HEABC/Resident Doctors of BC Collective Agreement to determine your eligibility for statutory holiday pay.

Reporting Sick Days

Residents are required to enter sick days in the Resident Management System (RMS) to inform their program office of their absence.  They must also inform their rotation supervisor or supervising staff when they are sick.

Resident Graduation certificates

The PGME Dean’s Office provides a graduation certificate to all Residents who are completing their postgraduate training. Confirmation is routinely requested from all programs on the information that should appear on these certificates.

Please note: If a request is made to add to or change a name on a Resident certificate from what is entered in RMS, proof of that name change should be sent to the PGME Dean’s Office. Please contact us at: postgrad@postgrad.med.ubc.ca. This notification is required at least 6 weeks prior to the completion of training date. More info is found here.

Tech Tips

Unable to submit stat holidays?
Some users have recently experienced technical difficulty while trying to report their statutory holidays using Safari. Until the issue is fully resolved, we recommend using another browser, like Google Chrome or Firefox, when submitting your stat holidays.

Page taking a while to load?
If at any time you encounter a delay when a page is loading, click Stop (or Esc on your keyboard) then Refresh (F5 on your keyboard). Your progress should be saved.
